How freelancers can document their client-acquisition process

A lightweight way to record how you find clients so you can repeat what works, and share it with others.

Freelancers often win clients through a mix of habits: a message here, an introduction there. Because it feels informal, it is hard to repeat on purpose. Documenting it turns luck into something you can improve.

Record where each client came from

For every client or serious conversation, note how it started: a referral, a message you sent, a post, an existing relationship. After a few months you will see which sources lead to real work.

Write down your offer in one sentence

Describe what you do, for whom, and the result they get. If it takes a paragraph, narrow it. A specific offer is easier to explain and easier for others to refer.

Document the steps between hello and yes

Most conversations follow a pattern: first message, reply, call, proposal, decision. Write down what you do at each stage, including the follow-ups. Include the wording that has worked for you.

  • First message
  • Discovery call questions
  • Proposal outline
  • Follow-up timing

Keep the private parts private

A shareable playbook describes your method, not your clients. Leave out names, prices agreed with specific clients and anything confidential. The method is valuable without the details.
